Clear answers before you participate

These FAQs explain what you receive, how charges work and where School Trip Finder’s involvement begins and ends.

What exactly does an operator receive?

You receive a school trip quote request containing the information supplied by the teacher or school representative. This is expected to include:

  • School and contact information
  • Departure location and preferred destination
  • Approximate dates and trip duration
  • Student age, group size and accompanying adults
  • Budget per student
  • Curriculum subjects and learning objectives
  • Preferred activities, accommodation and additional requirements
Is every lead guaranteed to become a booking?

No. Operators pay for access to a qualified opportunity to quote, not a guaranteed sale. The school decides whether to proceed and which proposal best meets its needs.

Conversion will depend on factors such as price, programme quality, educational fit, brand confidence, response speed and communication.

Does “three operators” mean I have a one-in-three chance?

No mathematical conversion rate is guaranteed. It means the request is shared with no more than the stated number of selected operators. Unlike an unrestricted lead, every participating operator has a defined competitive field and a genuine opportunity to submit a proposal.

How are operators matched with a school’s request?

Operators must first meet the essential requirements of the brief. Matching may consider destination coverage, departure market, student age, group size, budget, dates, curriculum area, programme type, accessibility requirements and operational credentials.

Where several companies are equally suitable, fair distribution may be used so that one large operator does not automatically receive every opportunity.

Does paying more guarantee better placement?

No. An operator must be genuinely suitable for the school’s request. Commercial participation cannot override essential matching criteria. Any future sponsored visibility would be clearly identified and would not make an unsuitable company eligible for a lead.

How does the lead fee work?

The lead fee is for the qualified introduction. The applicable charge is linked to the estimated trip value, using factors such as student numbers, budget and trip duration.

The fee and relevant conditions will be agreed or displayed before an operator is charged. Operators can agree suitable destinations, trip profiles and spending limits during onboarding.

What makes a lead eligible for credit?

A lead may be credited when its contact details are false or invalid, it is a duplicate previously supplied by School Trip Finder, the school confirms it did not submit the request, the enquiry falls materially outside the operator’s agreed criteria, or a technical error creates a duplicate charge.

A credit would not normally apply simply because the school selects another company, postpones the trip, cancels its plans, rejects the proposal or does not respond after receiving quotations.

How does the 1% success fee work?

If an introduced opportunity becomes a confirmed booking, School Trip Finder charges a 1% success fee on the qualifying booking value. Each request is assigned a unique reference, and the operator reports whether the opportunity remains open, has been won or has been lost.

The success fee and its calculation will be defined in the operator agreement before leads are supplied.

What happens if the dates, destination or itinerary change?

If a booking results from the original introduction during the same planning process, it remains attributable even if the school changes its destination, dates, duration, itinerary or group size.

A completely unrelated future trip is not automatically treated as the same opportunity.

How long does attribution last?

The proposed attribution period is 12 months from the original introduction. The exact attribution terms will be set out clearly in the operator agreement.

What if we already have a relationship with the school?

Every lead delivered through School Trip Finder is treated as a new, qualified enquiry and charged accordingly, regardless of any previous relationship between the operator and the school.

What happens after the lead is delivered?

Your team communicates with the school directly, develops the itinerary, submits the quotation and manages the sales relationship. School Trip Finder does not take over your sales process and does not need to remain involved in routine communication.

Does School Trip Finder own the school relationship?

No. School Trip Finder is paid for making the qualified introduction; it does not claim permanent ownership of the school.

Nothing prevents the operator and school from developing a direct continuing relationship. The initial opportunity remains subject only to the agreed lead fee, success fee and attribution terms.

Why use School Trip Finder when we already employ salespeople?

The platform complements rather than replaces a sales team. Instead of beginning with cold outreach, your team receives a structured request from a school that is already considering a trip and has asked to receive proposals.

This can reduce early qualification work, extend your reach beyond existing contacts and allow sales staff to focus on active opportunities.

Can operators control the types of leads they receive?

Yes. Matching criteria can be agreed around destinations, departure markets, student ages, group sizes, budgets, trip types and educational specialisms. Lead volumes or spending limits can also be agreed so participation remains controlled.

Can an operator pause participation?

Yes. Operators will be able to pause or adjust their participation in accordance with the operator agreement. The aim is to provide relevant opportunities when your team has the capacity to respond properly.
