How to Compare School Trip Providers Properly
The cheapest proposal is not automatically the best-value proposal.
First normalise the quotes
Check that each provider is pricing the same dates, passenger numbers, rooming, meals, transport and activities. Add obvious exclusions back into the price before comparing totals.
Compare educational quality
Look at how well each itinerary answers your learning objectives. Consider guide expertise, opportunities for reflection or fieldwork, curriculum relevance and whether activities have been chosen for students rather than ordinary tourists.
Compare safety and support
Review safeguarding procedures, risk-management information, emergency contact arrangements, local operational support, insurance requirements and how incidents or itinerary disruption are handled.
Compare commercial terms
Examine deposits, payment dates, cancellation charges, minimum group sizes, currency assumptions, complimentary staff places and financial protection. A lower headline price with restrictive terms can carry more financial risk.
Score what matters to your school
Create a simple weighted matrix covering price, educational fit, safety, service, itinerary quality and terms. Recording why one provider scored better also creates a clearer decision trail for school leadership.
