What Schools Should Know Before Asking Parents to Pay for a Trip

Secure the right internal approval
Follow your school’s approval and procurement process before presenting the trip as confirmed. Make clear if an initial expression of interest is not yet a booking.
Explain the real price
State what is included, what families may need to pay separately and whether the price depends on minimum student numbers or currency changes.
Make the payment schedule clear
Parents should understand deposit dates, subsequent instalments, when payments become non-refundable and the consequences if a student withdraws.
Explain cancellation scenarios
Be clear about the relevant school and provider terms. Avoid promising refunds that the contractual arrangements do not support.
Consider affordability and inclusion
Think about how payment timing, optional extras and fundraising or assistance arrangements affect participation. A trip can be educationally excellent but still inaccessible if the financial structure is poorly designed.
Communicate the educational value
Parents are more able to assess the cost when they understand the learning outcomes, supervision, safety arrangements and why the destination has been chosen.
